Your club, on autopilot.

Sameen, this page shows how your website will work, three ways to run your week (you pick one), and what we need from you to switch it on.

The big picture

Players book on your website. When a table reaches 4 seats, it lands in your Google Calendar and every player gets an email invite and a reminder. You ask for changes on a Notion board; our AI does them and Lucas checks before they go live.

How the club website worksPlayers book on the website. When a table has 4 seats filled, the website puts the game in Sameen's Google Calendar and Google emails an invite to every player. Sameen marks free time in her calendar. Sameen asks for changes on a Notion board; Claude reads it once a day and updates the site after Lucas says OK. Online payment is not decided. bookstable fullfree timeemail invite + reminder to every playerreads dailyupdates the sitewatchesWHO BOOKSPlayerson their phoneWEBSITEYour websitemahjongsociallahore.pages.devsee tables · book a seatBooking listwho sits where (free)GOOGLEYour Google accountCalendar + Gmailinvites · reminders · emailsYou, Sameenfree time in your calendarNOTIONNotion: Requests boardyou ask for changesand pick from optionsAI HELPERClaude (AI)checks once a day: asks, builds, shows you a previewLucaswatches, says OKbefore go-liveNOT DECIDEDOnline paymentlater, not in v1
Why the yellow step mattersThe moment 4 seats fill, nobody has to chase anyone: calendar, invites and reminders happen by themselves.
Your data stays yoursBookings sit in a small private list; the game and the guest list sit in your own Google Calendar.
Not decided yetOnline payment. For now players pay you at the table, as today. We add it later if you want.

Pick how your week runs

Three ways, same website. Each picture reads left to right; the top row is you, the middle is your players, the bottom is what happens by itself.

1

Open hours

You mark the hours you are free. Players start or join tables inside those hours.

Online payment = not decided (later).

Good

  • Players can book any free hour, not just two fixed days
  • Tables form on their own; you only show up
  • Your calendar stays the single source of truth

Watch out

  • If you forget to block time, nobody can book
  • Odd hours may leave a table at 3/4 (the site shows 'needs 1 more')

Best if

You like flexibility and your week changes.

Your effort

5 minutes a week: block your free time in Google Calendar.

2

Fixed weekly sessions

Set it once: e.g. 'Tuesday Garden Table 4pm' and 'Thursday Mixer 6pm' repeat every week.

Good

  • Zero weekly work after set-up
  • Players learn the routine: 'Tuesday is mahjong day'
  • Easy to fill: everyone aims at the same slots

Watch out

  • Less flexible: people who can't do Tue/Thu can't book
  • Changing a session means editing the series

Best if

You want a steady routine and as little admin as possible.

Your effort

Once at the start, then nothing weekly.

3

Request and confirm

Players ask for a time. You get an email and tap Confirm or Suggest another time.

Good

  • Full control over who plays when
  • Great for private tables and parties (4 / 8 / 12)
  • Closest to how you work today

Watch out

  • Every booking waits for you, so it is slower
  • More messages for you on busy weeks

Best if

You want to approve every game yourself, like today on WhatsApp, but tidier.

Your effort

A tap for every request.

👉 Tell Lucas: "Way 1", "Way 2" or "Way 3". Lucas suggests Way 1, Open hours: it is flexible and still runs itself.

Asking for changes: Notion

You get one private page in Notion that only you and Lucas can see. Write what you want in plain words; our AI replies with short questions you answer by ticking a box.

  1. You add a card: "Add a Ladies' Night on Fridays".
  2. The AI asks 1–3 questions with ready answers to tick.
  3. You tick, then press Yes, build this.
  4. The AI builds it and shows you a preview link.
  5. You press Go live; Lucas gives the final OK.

The card moves along by itself. "👉 Next step" always says whose turn it is. The AI checks once a day, so expect an answer the next day.

What we need from you

The same list, with examples and tick-box options, is waiting for you in Notion. Lucas sends you the invite.
